Student Employee - New Hire Paperwork
Welcome to the largest group of students on campus: the on-campus student employees! We are excited for you and your new position where you will get involved on campus while gaining personal and professional skills.
At UNI, student employment is more than a paycheck. From doing research between classes next to an accomplished professor, or leading an exercise class to keep your fellow Panthers healthy or assisting with an event for a national leader visiting campus. These are just a few of the 200+ unique jobs at UNI that over 2,000 student employees work in to prepare themselves for life after graduation.
Students at UNI can work up to 20 hours per week (40 hrs during breaks). The vast majority of the positions do not require Federal Work Study.
New Hire Paperwork
I-9
- Section 1 can be completed online through UNI Works once the supervisor has submitted the hire information and must be completed on or before the student's start date.
- Section 2 must be completed in person with an official university representation no later than 3 days after the student's start date. The new hire must bring the original of their identification documentation, copies cannot be accepted.
- Students can meet with Career Services staff in Maucker Union 063 M-F, 8-4:30 to complete Section 2. Students working for Dining Services can also complete Section 2 with one of the Dining representatives.
W-4s and Direct Deposit
These forms can be completed though UNI Works on the student's start date.
- If you do not complete your W-4 forms, your withholding will default to single with no other adjustments. This may result in a higher tax liability. For insight into completing the W-4, use the IRS Tax Withholding Estimator.
- Direct Deposit is required for all student employees.

International Students
If you are not a U.S. Citizen, in addition to completing the I-9, you will also need to meet with payroll accounting staff to determine appropriate taxation of your income. Please contact intlpayroll@uni.edu to arrange for that meeting. If you would like assistance in completing the I-9, they can also serve as a preparer or translator to assist you with this during that meeting.

FAQs
- I am an incoming student, when can I apply for jobs?
Most students begin applying and interviewing for positions after enrolling in classes. Your Handshake account will be created after enrollment in classes.
- When are jobs posted for [fall, spring, summer] semester?
Jobs are posted daily throughout the year. Some employers will post as early as six months in advance and others will post days before expected start date. There is no "best" time to start looking/applying.
- Can I use a copy of my ID's (such as Social Security card) for the I-9?
No. By law, we must be presented with originals of the documents. Photocopies or faxes cannot be accepted. If you need a replacement social security card, you may request one and bring the receipt to Career Services to begin work.
- I have Federal Work Study (FWS), how do I find positions that I can work at?
Federal work study funds follow you (the student), so you can work at ANY position on-campus. Let your hiring manager know you have FWS funds. For deadlines to claim your FWS, or other FWS questions, contact Financial Aid at 319-273-2700.
- I worked on-campus before, do I have to submit all the paperwork again?
It will depend on when you originally completed your I-9 and whether or not your documents have expired. After you are re-hired the system will automatically prompt you if you need to complete it again. If you have questions about whether or not you will need to complete a new one contact studentemployment@uni.edu.
- Can I update my W-4 or Direct Deposit information?
Yes. You can login to UNI Works after you have started working.
- How many hours per week can I work?
The student employment policy (3.19) states that students can work generally up to 20 hours per week during the academic year - this a cumulative of all campus jobs. During breaks and summer, students can work up to 40 hours per week
- How many credits do I have to be enrolled in to work on-campus?
As long as you are enrolled at UNI you can work as a student employee. This includes graduate students that are enrolled for continuous registration. International students must remain enrolled full-time (except for summer or the final semester of study). Other exceptions include federal work study. Questions about federal work study should be directed to Financial Aid at 319-273-2700.
- I am being treated unfairly at work. Is there anything I can do?
